Meeting Minutes

An intelligent meeting tool powered by local LLMs and speech recognition. It transcribes audio in real time, generates summaries automatically, and extracts key decisions and action items — all while keeping your data on-device.


Interface Overview

The interface is divided into three areas:

  • Left sidebar (navigation and history) — manage past meetings, search records, and monitor system resources.
  • Top configuration bar (meeting settings) — set the meeting topic, attendees, AI focus points, and select the underlying models.
  • Main work area (live record and analysis) — split into Live Transcript, AI Analysis, and the bottom Timeline.

Quick Start: Record a Meeting

Step 1 — Create a Meeting

  1. Click + New Meeting Minutes at the top of the left sidebar, or configure a new session directly in the main area.

Step 2 — Fill in Meeting Information

Complete the fields at the top so the AI has accurate context:

  • Meeting Topic — e.g., "V3 Product Launch Review."
  • Attendees — enter the main speakers (e.g., Alice, Bob). Helps the AI label speakers (with speaker recognition support) or assign responsibilities.
  • Focus Points (important) — tell the AI what to capture.
    • Example input: "Decisions, risks, owners, deadlines."
    • The AI extracts these specifically into the AI Analysis panel.

Step 3 — Choose Models

Select the appropriate models in the dropdowns at the top:

  • Speech Recognition (ASR) model — e.g., funasr. Transcribes audio to text in real time.
  • Large Language Model (LLM) — e.g., DeepSeek-R1 Distill Qwen 7B. Understands the transcript and produces summaries and analysis.

Step 4 — Start the Meeting

  1. Click the Start Meeting button.
    • The status changes from Idle to running.
    • Ensure microphone permissions are granted.

Features During the Meeting

Live Transcript (left panel)

  • Function — shows the live speech-to-text output (captions).
  • Behavior — text streams in continuously as the meeting progresses.
  • Use — verify recognition accuracy, or use as a real-time stenographic reference.

AI Analysis (right panel)

  • Refresh cycle — the panel auto-refreshes every 20–30 seconds as new transcript arrives.
  • Sections:
    • Current Topic — identifies what is being discussed right now.
    • Live Summary — a rolling summary of the meeting.
    • Key Discussion — important discussion points.
    • Risks — auto-detected project risks.
    • Action Items — extracted tasks (who, when, what).

Timeline / Highlights (bottom panel)

  • Function — when the AI detects a decision, risk, or action item, a marker is added to the timeline.
  • Use — after the meeting, click any marker to jump straight to the relevant moment — no need to replay the whole recording.

Ending and Exporting

  1. Pause / End — click Pause to suspend recording mid-meeting; click End to finish.
  2. Export — click Export to save the full minutes (transcript, AI summary, action items, etc.) as a document.

History and Management

  • Recent Meetings / Minutes History — every past meeting appears in the left sidebar.
  • Status view — entries show the meeting status (e.g., Completed) and duration (e.g., 1:21).
  • Search — use the top search box to quickly find past meeting content.

FAQ

Q: Why is the AI Analysis panel empty?

  • Confirm you have clicked Start Meeting and that audio is being captured. The AI needs roughly 10–30 seconds of text before it can produce useful analysis.
  • Meeting Minutes depends on the microphone. Check that the microphone is connected and working.

Q: How do I change what the AI extracts?

  • Edit the Focus Points field. Add keywords such as "budget" or "technical specs" to bias the extraction toward those topics.

Q: Is meeting data uploaded to the cloud?

  • No. Transcription and analysis run fully locally — meeting data never leaves your device.
